The training matrix is the single most requested document in a compliance audit and the one most companies scramble to produce. The scramble happens because the underlying data is spread across an attendance register, an HR file, a supervisor's notebook, and several spreadsheets—none of which know when a certification expires.

Completion is a date, not a status
The core modelling error is treating training as done or not done. Almost all mandatory training has a validity window, and the useful states are therefore four: never completed, valid, approaching expiry, and expired. Shifts, branches, and the roster problem
In multi-shift and multi-branch operations, the question is not just who is qualified but whether every shift has sufficient qualified cover. A factory can be fully compliant on paper and still run a night shift with no currently certified first aider, because the certified people are all rostered on days.
- Track qualification per person, then aggregate per shift and per site.
- Set a minimum qualified headcount for each safety-critical competency, per shift.
- Alert on the aggregate, not only the individual—one expiry can breach shift cover.
- Include contract and agency staff in the same aggregate.
What auditors actually ask for
Two things, usually: show me the matrix as of today, and show me the evidence behind one cell I pick. The first is a report. Why does mandatory training need expiry dates?
Because most mandatory training is only valid for a period—first aid, fire safety, food handling, machine-specific certification. A completion record with no expiry tells you someone attended once, which is not the same as someone being currently qualified. Auditors ask the second question.
How do you handle contract and agency staff?
They need to be in the same matrix as permanent staff, with the same expiry logic, or your compliance picture has a hole in exactly the population that rotates most.
