Payment collection is easy to decentralise and difficult to reconcile. A card payment may settle two days later, a QR payment may arrive under a shortened reference, and a bank transfer may be confirmed in WhatsApp. Finance needs one ledger that preserves those differences without losing the invoice relationship.

The minimum reconciliation fields

  1. Invoice or customer account reference.
  2. Payment method and originating gateway or bank.
  3. Gross amount, fee, net settlement, and settlement date.
  4. Branch, department, entity, or cost centre.
  5. Refund, chargeback, reversal, and exception status.
  6. A matching result with an owner and next action when it does not match.

Do not reconcile only by daily totals

Daily totals hide the exceptions that matter: one customer paid twice, a refund was not posted, a gateway deducted a fee, or a transfer was assigned to the wrong branch. Match at transaction level first, then use daily totals as a control check.
